Introduction

Unless an alternate policy is stated for specific circumstances, our Privacy Policy describes how we handle information we acquire about you when you use our travel products or services or otherwise interact with us (for example, by attending our events). Hype DMC Travel Sdn Bhd and any of its subsidiary or affiliated companies are referred to as "QONI," "we," and "us." QONI provides a diverse range of products and services, including corporate and leisure travel booking, event management, and group travel services, as well as technological products and apps such as online and offline booking tools. For the purposes of this policy, we refer to all of these products and services, as well as others and our websites, as "Services."

This policy also explains your rights, and the choices you can make about how we use the information you provide to us. This includes how you may object to certain uses of information about you, and how you can request access to or update information that we hold about you.

Where we provide the Services under contract with an organisation (for example your employer), that organisation controls the information processed by the Services. This Privacy Notice is intended to assist your employer in communicating your privacy rights to you. Your employer should ensure that your data is processed in line with all applicable national and international law, including the EU General Data Protection Regulation (GDPR) and in accordance with your instructions.

What information we collect about you

We collect information about you when either you or your employer provide it to us, when you use our Services, and when other sources provide it to us, as further described below.

1. Account and profile information

We collect information about you that we reasonably require for our business functions and activities, as well as information required by law. We use the information you provide us to book and manage travel, accommodation, vehicle rentals, group events such as conferences and meetings, and other associated products and services on your behalf and as your agent. When organizing timetables and availability, we use your personal preferences and requirements, as well as your financial and contact information, to purchase, deliver, and offer alerts of reservations and other communications linked to these services. We may gather personally identifiable information about you, such as:

  • Name & contact details, including residential and business address, telephone number and email address.
  • Company details
  • Date of birth
  • Travel related details, including passport detail, frequent flyer and other similar travel related information.

We may provide your journey data and other associated reporting to the assigned business contact for management information.

2. Content you provide through our software products and applications

QONI’s Services include software products and applications including but not limited to online booking systems, customer portals, APIs and mobile applications. As part of providing these Services, we collect and store content that you provide to us. This content may include any information about yourself that you choose to provide, records of your activity while using the Services, any messages you send, and any feedback you provide to us. This content also includes any files or links you upload to any of our Services.

We also collect content using analytics techniques that hash, filter or otherwise de-identify the information to exclude information that might identify you or your organisation; and we collect clickstream data about how you interact with and use features within the Services so that we may improve our customer experience.

3. Content you provide through our websites

The Services also include our websites, which we own or control. We collect any other content you submit to our websites or web services, which may include social media or social networking sites. For example, whether you submit comments or engage in any interactive features, surveys, contests, promotions, activities, or events, you provide us with content.

4. Information you provide through our support channels

The Services also contain our customer support, where you can submit information about an issue you're having with our Service. You will be asked to provide contact information, a summary of the problem you are experiencing, and any other documentation, screenshots, or information that would be helpful in resolving the issue whether you designate yourself as a technical contact, open a support ticket, speak directly to one of our representatives, or otherwise engage with our support team.

5. Payment information

We collect certain payment and billing information when you register for certain paid Services. You might also provide payment information, such as payment card details, which we collect via secure payment processing services.

The information we gather is used in different ways depending on which Services you use, how you use them, and any choices you have stated to us. The particular purposes for which we use the information we collect about you are listed below.

1. To provide the Services and personalise your experience

We use information about you to provide the Services to you, such as booking and managing travel and accommodation, renting vehicles, providing peripheral services such as visa assistance and travel insurance, arranging and managing events and tours, and providing travel technology solutions, among others.

We use the information about you to process transactions with you, authenticate you when you log in, provide customer support, and operate and maintain the Services.

Our Services also include tailored features that personalise your experience by automatically analysing your activities to provide search results, notifications, and recommendations that are most relevant for you. Where you use multiple Services, we combine information about you and your activities to provide an integrated experience, such as to allow you to find information from one Service while searching from another or to present relevant product information.

2. To provide updates and communications

We use your contact information to send transactional communications via email and within the Services, including confirming your bookings, providing itineraries, providing customer support, and sending you technical notices, updates, security alerts, and administrative messages. These communications are part of the Services, and in most cases, you are unable to opt out of them. If an opt out option is available, you will find that option within the communication itself.

3. To market, promote and drive engagement with the Services

We use your contact information and information about how you use the Services to send promotional communications, including emails, that may be of particular interest to you. These communications are intended to increase engagement and maximize your use of the Services, and may include information about new features, survey requests, newsletters, and events that we believe may be of interest to you. We also keep you updated on new product offerings, promotions, and contests.

How we share information we collect

We take pride in offering our Services to you, and we want them to operate effectively for you. This includes sharing information with third parties on occasion. We share the information we gather about you in the methods described below in order to deliver the Services, but we do not sell information about you to advertisers or other third parties.

1. Sharing with third party service providers

We share information with third party Service Providers that help us operate, provide, support and market our Services. We only provide enough information to fulfil our obligations to provide you with the Services and will not share any information without a legitimate and legal purpose.

Service Providers include travel providers such as airlines, hotels, rail providers, car rental providers, tour operators and event management companies, but may also include platforms such as Global Distribution Systems (GDS) that provide inventory and reservation services to travel agencies.

2. Sharing with third party technology providers

We collaborate with third-party technology providers to offer website and application development, hosting, maintenance, backup, storage, infrastructure, payment processing, analysis, and other services for us, which may necessitate access to or use of information about you. If a service provider needs to access information about you in order to execute services on our behalf, they do so under our strict supervision, which includes policies and processes meant to protect your information.

3. Compliance with enforcement requests and applicable laws; Enforcement of our rights

In exceptional circumstances, we may share information about you with a third party if we believe that sharing is reasonably necessary to:

  • Comply with any applicable law, regulation, legal process or governmental request, including to meet national security requirements.
  • Enforce our agreements, policies and terms of service.
  • Protect the security or integrity of our products and services.
  • Protect QONI, Hype DMC Travel Sdn Bhd, our customers or the public from harm or illegal activities.

4. Sharing with affiliated companies

We share information we collect with affiliated companies and, in some cases, with prospective affiliates. Affiliated companies are companies owned or operated by us. The protections of this privacy policy apply to the information we share in these circumstances.
